Position Title: Associate Director of Volunteer Management
Reports to: Director, Communication and Community Engagement
Hours: Full-time (hours to be determined, including some evenings and weekends)
Salary: $60,000 annually plus all benefits
Position Summary: The Associate Director of Volunteer Management is the systematic and relational lead in fostering a sense of belonging and engagement within our church community in fulfilling our mission to Live God’s Love in the World. They will share their gifts in coordinating volunteers, managing our member database (Realm), supporting the communications strategy and website development, alongside the Director of Communications and Community Engagement, and facilitating connections between members with our pastors, staff and lay leadership to share spiritual gifts and talents, based on availability and interest.
Essential Functions:
- Volunteer Coordination and Tracking:
- Collaborate with the Director of Communication and Community Engagement to determine volunteer ministry priorities and needs, establish measurable goals, and develop strategies and action plans consistent with the congregation’s overall ministry plan
- Recruit and coordinate volunteers for various church programs, events, and initiatives and communicate back to ministry and event organizers
- Ensure all volunteers are communicated with for relevant screening procedures and are tracked through completion for readiness to volunteer
- Coordinate communication requests for volunteers with the Director of Communication and Community Engagement
- Use our church database to maintain data on volunteer skills, availability, and interests to match volunteers with appropriate opportunities
- Provide ongoing support, encouragement and expressions of gratitude to volunteers, ensuring a positive volunteer experience
- Work to limit barriers to volunteering, making entry into service easy, keeping in mind our diverse population
- Establish consistent routines and ongoing training to meet volunteer needs and enable processes for them to sign up, revise, and back each other up with progressively less guidance
- Enable volunteers to easily see and sign up to help by ensuring visibility to events, dates, times, roles, training or materials needed across all ministry and outreach areas
- Membership Database Management:
- Establish on-going processes and timelines for maintaining accurate and up-to-date records of church members, including contact information, background check status, membership status, involvement in church activities
- Learn capabilities available through Realm, leverage and update the membership database to define data needs and ensure updates to membership date is accomplished, while ensuring permissions and appropriate visibility to sensitive member data are in place
- Generate reports and insights from the membership database to support decision-making and strategic planning
- Member Engagement and Connection:
- Facilitate connections between church members, Luminaria and confirmation participants and guests with volunteer opportunities that align with their interests, skills, and availability across all demographic groups
- Foster a sense of community and belonging by developing the membership database as a tool to educate new and existing users, enabling key leaders and teams to accomplish meaningful collaborations
- Serve as the first point of contact for members seeking information, support, or assistance in connecting with church resources and ministries
- Coordinate with ministry and event leadership on volunteer needs that may expand outside of St. John’s membership to request assistance from partner groups and area churches
- Communicate and/or present to church members and groups on volunteer opportunities at St. John’s
- Website Support:
- Under the direction of the Director of Communication and Community Engagement, regularly update the St. John’s website with upcoming events, special programs, or campaigns
Minimum Qualifications:
- Technical experience with databases, such as with Realm, Servant Keeper or other CRM systems with the ability to leverage these systems to design efficient processes around volunteer and membership data management including entry, updates, signups and reporting
- Experience in, or ability to learn, website management using Refresh Websites (no coding experience needed)
- Ability to manage, coordinate, and troubleshoot with vendor (ACS Technologies) to understand and leverage capabilities, maintain and manage the membership database
- Excellent interpersonal, oral, communication and presentation skills
- Proven ability to apply and document acquired job skills, policies and procedures to complete substantive assignments/projects/tasks of moderate scope and complexity; exercise judgment with defined guidelines and practices to determine appropriate actions
- Experience in handling confidential information and an understanding of the importance of maintaining confidentiality to abide by data protection laws, in addition to building and keeping community trust
- Project management skills and experience, including work prioritization, planning, and task delegation
- Strong analytical and critical thinking skills
- Organizational management and problem recognition and resolution skills
- A vibrant Christian faith with 1) an appreciative understanding of the theological doctrines and commitments of the ELCA and 2) a commitment to diversity as a gift from God
- Completion of mandatory background screening and applicable online training(s)
Education or Experience
- Bachelor's degree and three years directly related experience preferred
